Can Your Website Answer Customer Questions After Hours?

How a visitor assistant answers common questions after hours, hands the rest to your team and collects contact details, without guessing.

Yes. A visitor assistant on your website can answer common questions at night, at weekends and on holidays, when nobody is at the desk. It only helps if it answers from information you have checked, says plainly when it does not know, and passes the rest to your team with the visitor's contact details. Done well, the evening question becomes a morning enquiry instead of a lost visitor.

What happens to questions that arrive after you close?

Many people look at a service business's website in the evening, after their own work. They have a short question and want a short answer.

  • A bakery customer wants to know if you make gluten-free cakes for a birthday on Saturday.
  • A dental clinic patient wants to know if you treat children, or if you see emergencies.
  • Someone with a tenancy problem wants to know if a law firm handles rental disputes.
  • A homeowner with a dripping pipe wants to know if the plumber covers their district.

If the answer is not easy to find, the visitor often leaves and asks the next business. A contact form helps, but it asks the visitor to wait. A phone number helps only during opening hours.

What is a visitor assistant, and what can it do?

A visitor assistant is a chat window on your website. A visitor types a question and gets a written answer straight away. People also call it a chatbot.

A useful visitor assistant does four jobs:

  1. Answers frequent questions. Opening hours, services, areas you cover, what to bring to a first appointment, how ordering works.
  2. Recognises questions it cannot answer. A price for a custom job, a legal assessment, a diagnosis. It says so instead of guessing.
  3. Hands over to people. It tells the visitor how your team will follow up, and when.
  4. Collects contact details with consent. Name, e-mail or phone, and a short note about the request, so your team can reply.

How do the options compare?

Most small businesses combine these. The FAQ page and the visitor assistant answer the routine questions. The form and the phone handle the rest.

Why do reliable answers matter more than fast ones?

A wrong answer costs more than no answer. If an assistant tells a patient that the clinic is open on Sunday when it is not, the clinic loses trust. If it quotes a price the plumber never agreed to, someone has an awkward phone call the next day.

So the most important rule is simple: the assistant should answer only from information the owner has approved, and say "I don't know, our team will reply" for everything else.

Here is an example from our own website. There is no public price list for AMOS yet, so our assistant cannot quote a price. It points visitors to the contact page instead. That is less impressive than a confident number, and it is the honest answer.

Before you put any assistant on your site, check these points:

  • Where does it get its answers? From your own pages and notes, or from the open internet?
  • Can you see and correct the information it uses?
  • What does it say when it does not know?
  • Can it stay quiet on topics you choose, such as prices, legal advice or medical advice?

Which questions should go to a person?

Some questions should always reach your team, even if the assistant could produce an answer:

  • Prices for custom work. A wedding cake, a bathroom renovation, a legal case.
  • Anything that depends on the person's situation. Symptoms, contract details, a specific leak.
  • Complaints and urgent problems. These need a human reply and often a phone call.
  • Bookings that need a decision. For example a large order or an appointment outside the normal schedule.

The assistant's job here is to collect the request clearly and tell the visitor what happens next. A good handover message says who will reply and through which channel. If you have a rule such as "we reply within one working day", the assistant should repeat your rule, never invent one.

How should it collect contact details?

Ask only for what your team needs to reply. For most service businesses that is a name, one way to reach the person and a short description of the request.

Tell the visitor why you ask and how long you keep the details. Rules such as the GDPR in the EU and KVKK in Türkiye expect this. On our own contact form, details are used only to respond to the request and are deleted automatically after the stated retention period.

A practical example: a law firm's assistant could ask, "Would you like a lawyer to contact you? Please leave your name, e-mail and one sentence about your situation." It should not ask for case documents in a chat window.

What does AMOS do, and what do you decide?

AMOS is a product of Softalika for service businesses with roughly 5 to 50 people that get new customers through their website and have no SEO, content or IT team.

What AMOS does:

  • It can publish your website, articles, forms, legal pages and the chatbot in many languages under one domain, for example German under /de and Japanese under /ja.
  • It reports measured change in impressions, clicks and enquiries next to the work that was done.

What you decide:

  • Nothing is published on your website without your approval.
  • Every translation waits for your approval before it goes live.
  • You decide how long data is kept, and you can export or delete your data at any time.
  • Only the people you invite to your workspace can sign in.

AMOS does not promise rankings, traffic or revenue.

How do you try it?

A pilot starts with a short call about your website, your team and the markets you sell in. The AMOS team then sets AMOS up for you on your own isolated cloud resources. You sign in to the panel and approve the changes you want. The length and terms of the pilot are agreed on the call.

If you want your website to answer customer questions after hours, tell us your website address, your team size and what you want more of. Use the form on the contact page or ask our chatbot. We reply within one working day.
